Before arrival
Asking for the arrival time
Two or three days before arrival, when the guest already has an idea of flights and travel plans.
Fields in curly braces, like {name} or {arrival}, are filled in automatically by Guest in touch with the booking details. Fields in square brackets, like [Wi-Fi password], you write once yourself.
Friendly
Hi {name}, your stay at {property} is almost here! 🙌 Could you let us know roughly what time you'll arrive on {arrival}? That way we can be ready to welcome you. Check-in is from {checkin_time}: if you're arriving earlier or very late, just tell us and we'll sort something out.
Formal

Tips
- Ask one clear question: you'll get answers faster.
- Always mention the standard check-in time, so the guest knows whether they need to let you know.
- If it's self check-in, say so straight away: guests feel reassured, even when arriving at night.
